About the Project
A New Zealand-based staffing business needed a smarter way to find and reach potential clients. The manual process of browsing job boards, identifying hiring companies, finding the right contacts, and sending outreach emails was too slow and too inconsistent to scale. Rorix built a fully automated three-part platform: a background scraper that continuously monitors job boards across New Zealand and Australia, a backend system for managing all configurations and templates, and a clean frontend dashboard for controlling the entire operation.

Challenges We Solved
Manual Lead Discovery Was Not Scalable
The team was manually browsing job boards to find hiring companies, a process that was slow, inconsistent, and impossible to run at the volume a growing staffing business needs.
No Reliable Way to Find Decision-Maker Contacts
Finding the right email address or contact number for a hiring manager required manual research across multiple tools. There was no systematic fallback when one source came up empty.
Scraper Operations Managed via Google Sheets
All scraper configurations, job categories, locations, and email templates were being managed through Google Docs and Sheets. This was fragile, hard to maintain, and gave no real visibility into what the system was doing.
Memory Failures When Running Multiple Scrapers
When Trade Me, Seek NZ, and Seek AU scrapers ran simultaneously as separate processes, the system regularly exceeded memory limits, causing failures and incomplete data collection.
How We Delivered
Multi-Source Job Board Scraper
Built and integrated scrapers for Trade Me, Seek NZ, and Seek AU using Playwright for reliable browser-based scraping. Merged all three scraper processes into a single unified instance, resolving the memory overflow issues that occurred when running them as separate processes.
Multi-Layer Contact Discovery
Implemented a layered contact-finding system: first querying Skrapp and Prospeo APIs for known contact details, then falling back to direct company website crawling when third-party APIs return no results. This maximizes contact coverage across every job posting.
Email Validation with Never Bounce
Integrated Never Bounce to validate every discovered email address before it enters the outreach queue. This keeps the sender reputation clean, reduces bounce rates, and ensures the outreach volume does not negatively impact deliverability.
Automated Personalized Outreach
Built the email sending engine using Mailgun with a round robin distribution method across multiple sender profiles, preventing any single address from hitting volume limits. Emails are sent automatically on a configurable schedule with personalization per contact.
Backend and Frontend Management Platform
Replaced the Google Sheets workflow entirely by building a dedicated backend and frontend application. All configurations including job categories, locations, email templates, sender profiles, and system settings are now managed through a proper UI with CKEditor.
